Key Responsibilities of the Executive Assistant:

  • Deliver high-level administrative support to a team of executives, expertly managing complex calendars, coordinating meetings across time zones, and anticipating scheduling needs
  • Plan seamless travel experiences, handling all logistics for both domestic and international trips—from flights and hotels to ground transportation and detailed itineraries
  • Create polished presentations, reports, and meeting materials that reflect the high standards of the firm
  • Monitor project timelines, key deliverables, and meeting prep to ensure leadership is always a step ahead
  • Process expenses, track invoices, and manage other administrative workflows with accuracy and efficiency
  • Serve as a reliable point of contact for clients, vendors, and external partners, always representing the firm with professionalism and discretion
  • Take ownership of light office management duties, including supply management, vendor coordination, and general office upkeep
  • Support internal events and client meetings, helping to coordinate logistics and ensure everything runs smoothly

Job Requirements

Qualifications of the Executive Assistant:

  • Minimum of 3-5 years of administrative or executive support experience in a fast-paced, professional setting
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Exceptional organizational and multitasking skills, with a proven ability to manage competing priorities and tight deadlines
  • Strong written and verbal communication skills and a confident, professional presence
  • A proactive, solution-focused mindset with a natural sense of initiative
