Responsibilities of the Office Administrator:

  • Serve as the primary point of contact for the office, greeting visitors, answering incoming calls, and responding to inquiries with professionalism and a customer-focused approach.
  • Oversee day-to-day office operations, ensuring the office is organized, well-maintained, and fully equipped to support the team.
  • Provide administrative support to leadership and staff, including scheduling, correspondence, document preparation, and other general office responsibilities.
  • Coordinate meetings, appointments, and office events while managing calendars and ensuring all necessary details are communicated and prepared in advance.
  • Manage office supplies, equipment, vendors, and service providers, placing orders and coordinating maintenance as needed.
  • Assist with accounting and financial administrative tasks, including processing invoices, tracking expenses, and maintaining accurate records.
  • Maintain organized electronic and physical files, ensuring documents and records are accurate, accessible, and handled with appropriate confidentiality.
  • Support employee onboarding and other administrative processes, helping to ensure new team members have the resources and information needed to get started successfully.
  • Assist with special projects and other administrative initiatives as needed, demonstrating flexibility and a willingness to take on new responsibilities.
Job Requirements

Qualifications of the Office Administrator:

  • High School diploma is required; additional education or coursework in business administration or a related field is preferred.
  • 3+ years of office administration, administrative support, or office management experience is strongly preferred.
  • Exceptional organizational skills and attention to detail with the ability to effectively manage multiple priorities and deadlines.
  • Strong written and verbal communication skills with a polished and professional demeanor.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Strong problem-solving skills with the ability to work independently, exercise sound judgment, and take initiative.
  • Comfortable working in a fast-paced environment and adapting to changing priorities with a positive, solutions-oriented approach.
  • Demonstrates professionalism, discretion, and integrity when handling confidential company and employee information.
  • Reliable, resourceful, and team-oriented with a proactive approach to supporting both leadership and colleagues.
